Window to the World Institute for Languages (Window to the World – W2W)


1. Acceptance and Agreement

The registration of the student in any program or training course, or their attendance for study, or payment of any fees, constitutes their explicit agreement or that of their guardian to these terms and conditions and commitment to them.

2. Registration and Payment of Fees
  • Tuition fees must be paid in full or according to a payment plan approved by the institute.

  • The student is obligated to pay all amounts due before moving to the next level or educational window or before issuing any certificate or official document.

  • The institute reserves the right to suspend the student's attendance or suspend the services provided to them until all financial dues are paid.

3. Attendance and Academic Progress
  • Regular attendance is the responsibility of the student.

  • The student is not entitled to request a refund for any fees for classes or lectures they miss, nor is the institute obligated to compensate for or reschedule them.

  • The results and educational outcomes depend on the student's commitment to attendance, participation, diligence, and self-practice, and the institute does not guarantee achieving any academic, professional, or linguistic results or passing any specific test.

4. Class Schedules and Operational Modifications

The institute reserves the right to modify class schedules, study times, classrooms, instructors, training program delivery methods, or any other operational arrangements as needed for operational, academic, administrative, or organizational reasons, making reasonable efforts to notify students in advance whenever possible.

5. Student Conduct

The student is committed to respecting the institute's staff, instructors, other students, and the institute's facilities and property.

The institute may take appropriate actions, including suspending the student or expelling them from the training program, if they commit any of the following violations:

  • Disruptive behavior or behavior that hinders the educational process.

  • Abuse, harassment, bullying, or discrimination in any form.

  • Cheating or any form of academic integrity violation.

  • Misuse of the institute's facilities, property, or systems.

  • Any action that negatively affects the educational environment.

  • Violation of the institute's regulations or the laws in effect in the Kingdom of Saudi Arabia.

There is no right for the student to recover fees, compensation, or obtain an alternative financial credit due to expulsion or suspension for behavioral violations.

6. Withdrawal, Fee Refund, Transfer, and Postponement
6.1 Withdrawal Requests
  • Withdrawal requests must be submitted in writing via the official WhatsApp of the institute or any method approved by the institute.

  • A withdrawal request is not considered valid unless confirmed received by the institute.

6.2 Fee Refund
  • The student has the right to request a fee refund only during the first week of classes.

  • The amount eligible for refund, if any, is calculated proportionally based on the duration or number of days or classes attended by the student, as determined by the institute.

  • The student is not entitled to claim any fee refund after the first week of classes, regardless of the reasons for withdrawal, absence, or personal, professional, or health circumstances.

  • No refund claims can be made after the completion of the training program.

6.3 Administrative and Financial Processing Fees

The following fees shall be deducted from any approved refund:

  • A non-refundable administrative fee of (150) Saudi Riyals.

  • For payments made by credit card, debit card, Tabby, Tamara, installment services, online payment gateways, or any third-party payment processor, an additional management and processing fee equal to 10% of the amount paid.

6.4 Transfer and Deferral of Tuition

After the first week of classes, the student is not entitled to a refund of fees, but the institute may, at its discretion, agree to one of the following options:

  • Transfer the remaining unused tuition fees to another beneficiary.

  • Defer the remaining unused tuition fees to a future semester, course, or program offered by the institute.

The following conditions apply:

  • The transferred or deferred balance must be used within a period not exceeding twelve (12) months from the start date of the original program, unless the institute agrees in writing to the contrary.

  • Fees may not be transferred between programs, courses, offers, discounts, packages, grants, or different pricing plans except with prior written approval from the institute.

  • The student or new beneficiary bears any difference in tuition fees between the original program and the new program.

  • Any tuition balance transferred or deferred shall have no cash value and may not be exchanged for a refund.

  • The institute reserves the right to impose reasonable administrative fees for the procedures of transfer, deferral, or changing the beneficiary.

7. Certificates and Completion of Programs

Certificates, transcripts, letters, reports, or proof of completion may only be issued when:

  • Settling all financial obligations owed by the student.

  • Meeting all academic, training, behavioral, or attendance requirements specific to the program.

The institute reserves the right to withhold any certificate or official document until all required obligations are fulfilled.

8. Limitation of Liability

To the extent permitted by applicable regulations, the institute shall not be liable for any indirect, consequential, incidental, or economic damages or losses resulting from enrollment in the programs, services, or activities it offers.

In all cases, the institute's liability, if any, shall not exceed the total fees paid by the student for the program in question.

9. Force Majeure

The institute is not responsible for any delay, interruption, cancellation, or inability to fulfill its obligations due to circumstances beyond its control, including natural disasters, epidemics, government decisions, interruption of essential services, technical malfunctions, or any similar circumstances.

10. Applicable Law and Jurisdiction

These terms and conditions are governed by and interpreted in accordance with the laws of the Kingdom of Saudi Arabia.

The judicial authorities and competent authorities in the Kingdom of Saudi Arabia have jurisdiction to consider any dispute arising regarding these terms and conditions.

By registering as a student, paying fees, enrolling in any program or training course, or benefiting from the institute's services, the student or their guardian acknowledges that they have read, understood, and agreed to these terms and conditions and are committed to what is stated therein.
